Privacy & Cookies

Last updated: 15 October 2026

Edex Food Groothandel B.V. (“Edex Food”, “we” or “our”) attaches great importance to protecting your personal data. In this privacy and cookie policy we explain which data we collect, why we do so, how long we keep it and what rights you have. We process personal data in accordance with the General Data Protection Regulation (GDPR).

1. Who is responsible?

The data controller is:
Edex Food Groothandel B.V.
Riethil 3-5, 4825 AP Breda, the Netherlands
Chamber of Commerce no.: 50051679
Email: info@edexfood.com
Phone: +31 (0)168 371 551

2. Which data do we process?

Edex Food supplies business customers only, so we mainly process data of contact persons at companies. Depending on how you get in touch with us, this may include:

  • Contact form: name, company name, email address, phone number and the content of your message.
  • Customer registration: company name, Chamber of Commerce number, VAT number, address, name of the contact person, email address and phone number.
  • Customer relationship and orders: order, delivery and invoice details and correspondence with our staff.
  • Website visits: technical data such as IP address, browser type, pages visited and time of visit (see article 7 on cookies).

3. What do we use this data for?

We only use your data for the following purposes:

  • answering your questions and requests;
  • assessing and processing your registration as a customer;
  • handling orders, deliveries and invoicing;
  • maintaining the customer relationship, for example personal range advice;
  • complying with legal obligations, such as the statutory retention period for tax records;
  • analysing and improving our website.

4. On what legal basis?

We process personal data on the basis of the performance of a contract or steps prior to entering into one (such as a registration or quote request), a legal obligation, our legitimate interest (such as answering questions and improving our services), or your consent, for example for non-essential cookies. You can withdraw your consent at any time.

5. How long do we keep your data?

We do not keep data longer than necessary for the purpose for which it was collected. Messages sent via the contact form are kept for as long as needed to handle your question. Customer, order and invoice data are kept for the duration of the customer relationship and thereafter for as long as the law requires; a statutory retention period of seven years applies to financial records.

6. Do we share data with others?

We never sell your data to third parties. We only share data where necessary for the purposes described, for example with:

  • parties that host and manage our website and webshop;
  • carriers, to deliver orders;
  • our accountant and IT service providers;
  • government authorities, where we are legally required to do so.

We conclude a data processing agreement with parties that process data on our behalf. Some service providers may process data outside the European Economic Area. In that case we ensure appropriate safeguards, such as the European Commission’s standard contractual clauses or the EU-US Data Privacy Framework.

7. Cookies

Our website uses cookies: small text files stored on your device.

  • Functional cookies are needed for the website to work properly, for example to remember your language choice. No consent is required for these.
  • Analytical cookies help us measure how visitors use our website so we can improve it. We use Google Tag Manager and the analytics services connected to it. Where possible, data is anonymised.

We only place cookies that are not strictly necessary with your consent. You can delete or block cookies at any time via your browser settings.

8. Security

We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access, such as a secure connection (SSL) and restricted staff access.

9. Your rights

You have the right to access, correct or delete your personal data. You can also object to processing, restrict processing and request data portability. Send your request to info@edexfood.com. We respond within four weeks. To prevent misuse, we may ask you to verify your identity.

10. Complaints

Do you have a complaint about how we handle your data? Please contact us first so we can find a solution together. You also have the right to lodge a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).

11. Changes

We may update this privacy and cookie policy, for example due to new legislation or new services. The most recent version is always available on this page.
